Operations behind 3x monthly sales

The result
3xavg monthly sales
$72K → $314Krevenue, before vs after

Revenue went from $72,309 (Jan 1 to Apr 30) to $313,796 (May 1 to Oct 18), about 3x higher average monthly sales after I took over the workflows.

The gap
The founder was running the inbox, the community and every project herself, so students waited days for replies and growth stalled behind admin.
The fix
Took over day-to-day operations: I manage her inbox, run community replies and testimonial tracking, and support every project end to end, from course logistics to new tools.
02Food packaging company

Solo admin to full backend team

The result
+23%partner annual sales
1 → Teamsolo admin to trained team

That system change drove a 23% increase in annual sales for one of the company's partners.

The gap
The company had one remote admin, me, handling operations alone, with no team or backend process behind it.
The fix
Grew and trained a team under me, then built out the backend operations that supported it.
03Nonprofit housing organization

Grant pipeline CRM

The result
$452Krequested from funders
317applications sent
3,097funders, one pipeline

Every funder, deadline and follow-up now sits in one live dashboard the team checks each morning.

The gap
Funder research, letters and deadlines lived in scattered spreadsheets and inboxes, so nobody could see what was due or who had replied.
The fix
Built a shared grant CRM with a funder pipeline, deadline alerts, follow-up queues and a daily change log the whole team works from.
04Hospitality group

Inquiry-to-payment automation

The result
Instantfirst reply
0manual steps to payment

Every inquiry gets a reply right away, and approved bookings are charged with no one touching it.

The gap
Every new inquiry waited on someone to reply, approve it and send a payment link by hand, so leads cooled off and payments lagged.
The fix
Built a live Make.com scenario: a webhook catches each inquiry and sends an instant first email. On approval it charges the card in Stripe, emails the customer and updates two systems of record. Declines update records and stop.
05Content-driven business

261-step content pipeline

The result
261automated steps
Same dayvideo to newsletter draft

One video becomes a ready-to-review newsletter draft and a stocked content library the same day.

The gap
Turning each long-form video into a newsletter and social content meant hours of copying and pasting between tools.
The fix
Built a Make.com scenario where an RSS feed catches every new video, Claude drafts the newsletter and pulls content ideas in stages, and a router writes each piece into Notion.
06Youth enrichment programs

Enrollment data dashboard

The result
788children in one view
0 hrsmanual data entry
Nightlysync from 2 systems

Four years of enrollment in one place, refreshed nightly, with nobody typing data in by hand.

The gap
Registrations were split across two platforms, so staff could not see how many children came back or how enrollment changed year to year.
The fix
Built a dashboard that pulls every registration in automatically each night and turns it into simple year-by-year views.
07Events & media company

Vendor CRM & compliance tracker

The result
170vendors in one CRM
1 clickto see missing W9s & COIs

The team sees what is missing and who to chase in one click, instead of digging through old emails.

The gap
Before every event the team chased vendors one by one for tax forms and insurance certificates, with no record of who had cleared.
The fix
Built an events CRM that tracks every event, vendor, quote and load-in, plus a W9 and COI tracker matched to each event with missing items flagged.
08Online course & community business

Internal team answer bot

The result
Instantteam answers
2 flagssafe to send or check first

Known answers go out immediately, and anything that may have changed gets checked instead of guessed.

The gap
The team kept asking the same questions in Slack and risked guessing at answers that had changed.
The fix
Built a team assistant trained only on confirmed answers. It flags each reply as Evergreen, safe to send, or Check, needs a human.
09Online course & community business

AI Q&A assistant for students

The result
24/7student answers
Fewerrepeat questions for the founder

Students get accurate answers any time of day, and the founder answers far fewer repeat questions.

The gap
The same student questions came in every day, pulling the founder away from teaching and growing the business.
The fix
Built an AI assistant that answers only from confirmed course material and points students to the community when it is not sure.
10Online course & community business

Product research calculator

The result
Secondsto a buy or pass verdict

Students get a buy or pass answer in seconds, and the tool is used across the course community.

The gap
Students guessed which products were worth promoting and often wasted time on the wrong ones.
The fix
Built a calculator that turns real sales data into a clear verdict and projected first-month earnings, with a saved library and backup so no one loses their work.
11Youth enrichment programs

Camp photo & video platform

The result
Weeklyprivate album per family
1 tapto save a favorite

Families find their child's moments in a few taps, and a private album link lands in their inbox every Friday.

The gap
Parents dug through a shared folder to find photos of their own child.
The fix
Built a photo platform where families browse by camp, favorite moments, export a keepsake photobook or printable PDF, play a musical slideshow and get a Friday email with their private album link.
12Youth enrichment programs

Nonprofit website

The result
780+children served
695registrations

A site that supports a program serving 780+ children across five locations.

The gap
Parents needed one clear place to find camps, learn about the program and register.
The fix
Built a full website with camps, committees, projects and registration in a few clicks.
13Furnished housing company

Paid-ads landing page & SEO site

The result
Ads + SEOboth channels covered
1 pageper guest type

Ad clicks and search visitors land on a page made for them, with a clear path to inquire.

The gap
The business needed to be found by people searching for monthly furnished rentals, from relocating families to rebuild crews.
The fix
Built a search-friendly website plus a paid-ads landing page end to end, with one page per audience.
14Furnished housing company

PIN-gated guest guide

The result
1 pageper unit, PIN protected

Each unit has one branded page with everything a guest needs, replacing the scattered PDFs.

The gap
Guest details lived in PDF attachments and the host platform's generic instructions, which guests rarely opened.
The fix
Built a branded guest guide portal, locked with a PIN per unit, with Wi-Fi, parking and house rules in one place.
15Online course & community business

Team matching board

The result
Self-serveteams form on their own

Teams form on their own, with no admin in the middle.

The gap
Students dug through long comment threads to find teammates to share a software license.
The fix
Built a self-serve board where students open teams, claim spots and confirm payment themselves.
16Youth enrichment programs

Program outcomes tracker

The result
1 clickboard-ready report

A board-ready summary the team can export in one click.

The gap
Program results lived in separate logs, which made reporting against annual targets slow and patchy.
The fix
Built a tracker that rolls every log into one outcomes dashboard measured against each target.
17Youth enrichment programs

Team systems hub

The result
1 pagefor every team tool

Everyone starts from the same page, and new staff find everything on day one.

The gap
Staff hunted through bookmarks and old messages to find the right tool or tracker.
The fix
Built one front door that links the photo site, email stats and program trackers.
18Freight brokerage

Lead capture page

The result
Inboundleads with lanes & rates

Sales follows up with qualified leads who already asked for a quote.

The gap
The sales team relied on cold calls to start conversations with shippers.
The fix
Built a free lane rate check page where shippers share their lanes, volume and current pricing up front.
19Youth enrichment programs

City classes research tool

The result
City by citygaps mapped before pitching

Pitches now focus on where the programs truly stand out.

The gap
The team did not know what each city already offered before pitching new classes.
The fix
Built a research tool that maps current offers city by city and flags the gaps.
20Youth enrichment programs

Summer camp finder

The result
A few tapsto the right camp

Parents find the right camp and register in a few taps.

The gap
Seasonal camp details were hard for parents to browse.
The fix
Built a camp page that sorts options by interest, from robotics to arts.
21Events & media company

Contractor hiring funnel

The result
1 forminstead of an email thread

Each candidate takes one review instead of ten emails.

The gap
Hiring designers meant long email threads to collect portfolios, rates and experience.
The fix
Built an application page that gathers everything needed in one submission.
22Service business

Sales landing page

The result
3 in 1site, Google listing, booking

A ready-to-send offer page for outreach.

The gap
Appointment-based shops lose clients when calls go unanswered.
The fix
Built a landing page that sells a website, a stronger Google listing and booking automations as one offer.
23My own build

Product opportunity calculator

The result
Secondsto a peso earnings verdict

A clear verdict in seconds.

The gap
Online sellers in the Philippines had no quick way to judge a product's earnings in pesos.
The fix
Built a calculator for price, commission and demand.
24My own business

Lead engine website

The result
24/7lead capture

Leads come in while I work on client systems.

The gap
I needed a steady way for founders to find me without relying on referrals alone.
The fix
Built my own site with industry landing pages and a lead capture flow.

Real systems in real businesses. Client names and details are blurred to protect their privacy.

About me

The person behind the systems.

I'm Nicole, and I believe a founder's time belongs on growth, not on chasing paperwork, follow-ups and spreadsheets.

I started in corporate training at one of the world's largest BPO companies, where I learned to build teams and processes that hold up under pressure. Since then I've supported founders and executives in the US, UK and Australia, and served as General Manager for a growing company, where I built and trained a remote backend team whose work drove a 23% increase in annual sales for one of the company’s partners.

Today I combine operations experience with AI and automation. I don't just take tasks off your list. I find the gap behind them, build the system that closes it, and keep it running.

OwnershipI treat your business like it's mine.
ClaritySimple systems anyone on your team can follow.
Follow-throughThings get done without reminders.

Questions founders ask
What does Nicole Flores do?

Nicole Flores is an operations consultant, virtual executive assistant and AI automation specialist for founders. She runs business operations and builds workflow automation, custom CRMs, SEO and GEO, and social media and Google Ads systems so founders can step out of the day-to-day.

What results has Nicole delivered?

Examples include a grant pipeline CRM tracking 3,097 funders and 317 applications for a nonprofit housing organization, an enrollment dashboard tracking 788 children for a youth enrichment program, operations support behind about 3x higher average monthly sales for an online course business, and a backend team that drove a 23% increase in annual sales for a company partner.

What is the free operations audit?

The Founder Time-Back Audit is a free operations audit. Nicole reviews how your week runs, then sends your top 3 tasks to automate, the hours each one saves and the tools to use. It is ready in 2 business days and walked through on a short call.

Is Nicole an AI automation agency?

No. Nicole is a one-person AI automation specialist, not an agency. Founders work with her directly, from the first audit to the finished system, with no hand-offs to junior staff.

How is this different from a fractional COO?

A fractional COO mostly sets strategy at the leadership level. Nicole is hands-on: she builds and runs the systems, CRMs and automations herself, which suits founders who need the work done, not just planned.

What is GEO?

GEO, or generative engine optimization, means making your business clear and easy to quote for AI search tools like ChatGPT, Perplexity and Google AI Overviews, so they recommend you when people ask.

Which tools does Nicole work in?

HubSpot, GoHighLevel, Make.com, n8n, Notion, Google Workspace, Meta Ads Manager, Google Ads, Claude and ChatGPT. She also learns whatever tools your team already uses.

Where is Nicole based, and what hours does she work?

Nicole is based in Pampanga, Philippines, and works US business hours as a remote operations manager and virtual executive assistant for founders in the US, UK and Australia.

How does working together start?

With a free 15-minute call about what is taking up your time, or one of the free audits on this page. Nicole then maps the fix and shows what she would do in the first two weeks.
